Before

  1. Click on the meeting link that was sent to you or open the Zoom app and click on “Join a Meeting.” When you receive a meeting invitation, it will usually include a link that you can click on to join the meeting. You can also open the Zoom app on your device and click on the “Join a Meeting” button.
  2. Enter the Meeting ID or Personal Link Name to join the meeting. Once you click on “Join a Meeting,” you will be prompted to enter the Meeting ID or Personal Link Name. The Meeting ID is a 9, 10, or 11-digit number that the host provides, while the Personal Link Name is a custom name that the host might have created for the meeting.
  3. Wait in the virtual waiting room until the host allows you to join the meeting. Once you enter the Meeting ID or Personal Link Name, you will be taken to a virtual waiting room. The host will need to allow you to join the meeting, so you might have to wait a few minutes before you can enter. While you’re waiting, you might see a message that says “Please wait, the meeting host will let you in soon” or something similar. Once the host allows you to join the meeting, you will be taken to the main video conferencing window.

It’s important to note that not all Zoom meetings require a waiting room or Meeting ID/Personal Link Name. If you’re using Zoom to host a meeting, you can choose to disable the waiting room or use a different method of inviting participants. Similarly, if you’re joining a meeting that doesn’t require a waiting room, you might be able to join the meeting immediately after clicking on the meeting link.

During

Here’s a simplified explanation of the steps you can take once you’re in a Zoom meeting:

  1. To turn on your audio and video, click on the microphone and camera icons at the bottom of the screen. This will allow you to talk and be seen by the other participants in the meeting.
  2. If you want to see all the other participants in the meeting, click on the “Gallery View” button at the top of the screen. This will show you everyone in the meeting in a grid.
  3. If you want to show something on your screen to the other participants, click on the “Share Screen” button at the bottom of the screen. This will allow you to share your screen with the other participants so they can see what you’re seeing.
  4. If you want to send a message to the other participants during the meeting, click on the “Chat” button at the bottom of the screen. This will open the chat window, where you can type a message to the other participants.
  5. If the host has created breakout rooms, you can join a breakout room to work on a project or have a smaller discussion. The host will provide instructions on how to join a breakout room, and once you’re in the room, you can interact with the other participants there.

After

Here’s a simplified explanation of what to do when a Zoom meeting is over:

  1. To end the call, click on the “End Call” button at the bottom of the screen. This will disconnect you from the meeting and close the video conferencing window.
  2. If the host has enabled the “Waiting Room” feature, you will be taken back to the virtual waiting room after the call has ended. This means that you will need to wait for the host to allow you to leave the meeting before you can exit the waiting room.
  3. If you need to schedule another meeting, you can do so by clicking on the “Schedule” button on the Zoom app’s home screen. This will allow you to set a date and time for the next meeting and invite participants by sending them a link to join.

I hope this explanation is helpful! If you have any other questions or if there’s anything else I can help you with, please let me know.

What if everything fails?

If a participant cannot be present during the meeting due to technical difficulties, they can still access the recorded video afterwards if it’s made available by the host. This means that they can watch the video and catch up on what they missed, even if they couldn’t attend the meeting in real-time.

To access the recorded video, the participant will need to have the link or access code provided by the host. Once they have this information, they can access the video on the Zoom website or app, depending on the host’s settings. If the host has enabled the recording to be downloaded, the participant can also download the video and save it to their device for future reference.

It’s important to remember that the recording feature in Zoom should be used with caution, as it can potentially capture sensitive or private information. If you’re planning to record a Zoom meeting, it’s important to inform all participants in advance and get their consent.
